Custom CRM vs HubSpot for a small team: what each costs

Short answer: HubSpot is the better choice if you rely on its marketing tools, email sequences and integrations. A custom CRM makes sense when a small team uses only contacts and a deal pipeline, and wants them connected to its tasks, approvals and client work. Building one the traditional way is expensive. A CRM inside one managed system avoids the upfront build cost.

What HubSpot costs

HubSpot Sales Hub Starter lists at $20 a seat a month on annual billing, with a limited-time $7 offer for new customers (HubSpot pricing, October 2026). Higher plans cost more per seat. A team with 6 people in the CRM pays $120 a month at list price, before add-ons.

What a traditional custom CRM build costs

Development firms commonly quote tens of thousands of dollars for a custom CRM. One firm's published estimate puts it at $27,000–$120,000, plus 15–25% a year for maintenance. For a small team, that rarely beats a subscription.

A third option: a CRM inside one system

FitMySaaS builds the contacts and deal pipeline you use into the same system as your chat, tasks, docs and support, then hosts and maintains it. There is no large build fee: setup is up to $1,500 and the monthly fee is fixed, from $400, usually 30–40% below what you pay for the tools it replaces. A CRM alone rarely justifies it; a CRM plus the other tools you pay for often does.
